Connect and Manage QuickBooks Sync in FlowerBuddy

Set up automatic invoice syncing and manage QuickBooks settings for your events

Instructions

Connect QuickBooks to FlowerBuddy

  • Go to Workspace Settings.

  • Open the Third Party Integrations tab.

  • Select QuickBooks.

  • Click Connect to QuickBooks.

Choose Default Sync Settings

  • Decide whether new events should automatically sync to QuickBooks once they reach a Booked, Completed, or Cancelled status.

  • Note that Inquiries and Proposals do not sync.

  • Invoices are only created in QuickBooks after an event becomes Booked.

Configure Invoice Date Settings

  • Choose the Invoice Date in QuickBooks:

    • Set it to the invoice creation date (the date the event becomes Booked in FlowerBuddy), or

    • Set it to the event date.

  • Choose the Due Date for the invoice:

    • Match it to the final payment due date in the FlowerBuddy event, or

    • Set it to the event date.

Sync Existing Events

  • Enable the option to sync existing events if needed.

  • Select a date range based on the event date.

  • Review the summary showing:

    • Total events in the selected date range.

    • How many are Booked or Completed and will create invoices.

    • How many are not yet Booked or Completed and will not create invoices until their status changes.

  • Click Show Events to view the list of included events.

Complete the Connection

  • After confirming your settings, click Connect to QuickBooks.

  • Complete the QuickBooks authentication process.

  • You will be returned to FlowerBuddy with a confirmation message.

Manage QuickBooks Settings After Connecting

  • Return to the QuickBooks integration page in Workspace Settings at any time.

  • Update the same sync and date settings you configured during setup.

  • Enable sync for existing events using a new date range.

  • Re-sync all existing events.

  • Disable sync for existing events.

  • Disconnect your QuickBooks account if needed.

  • When disconnecting, choose whether to delete invoices created by FlowerBuddy in QuickBooks or leave them in place.

Manage QuickBooks Sync for an Individual Event

  • Open the event in FlowerBuddy.

  • Go to the Details tab.

  • Scroll to the QuickBooks Sync section at the bottom.

  • Enable or disable sync for that specific event.

  • View the current sync status.

  • Open the related QuickBooks invoice if one exists.

  • Re-sync the event if needed.
