Summary

Flowerbuddy's updated invoice settings allow you to customize how invoices appear for each event. You can set company and client details, add payment instructions, attach invoices to notifications, and generate branded PDF invoices with full payment summaries and QR code access to the client portal.

Instructions

  • Go to the Details tab inside any event and scroll down to the Payment Schedule section.

  • Locate the Invoice Settings section, which shows a preview of how your invoice will appear across three areas:

    • Pay To: Displays your company name (from workspace settings) and contact info (from your account settings).

    • Bill To: Shows your client info. By default, this uses the contract signer or first client.

    • Payment Instructions: A freeform field where you can enter instructions directly in the settings.

  • Click Edit Invoice Settings to update any field.

  • In the invoice settings panel:

    • Use the Bill To dropdown to manually select a client, or leave it on Auto to let Flowerbuddy choose automatically.

    • If your desired client is missing, close the settings panel, click Add Client above, then return to the dropdown to select them.

    • You can choose to attach invoices to payment notification emails.

    • Add Client Notes to appear in the Bill To section of the invoice.

    • Add Payment Instructions to customize the invoice's instructions section.

  • Once changes are saved, generate an invoice by clicking the Download icon next to any payment entry.

  • The generated PDF invoice includes:

    • Your company logo, Pay To, Bill To, and Payment Instructions

    • Event details such as name and date

    • The invoice number and a QR code linking to the client portal

    • A summary table of the selected payment

    • A second page with all event line items, subtotal, tax, total, and the full payment schedule
