Customize payments for any event directly in its details tab
Summary
FlowerBuddy allows you to tailor the payment schedule for each individual event. From adding custom notes and generating client-ready invoices to manually marking payments as received and editing the structure of your schedule, all actions can be handled within the event’s Details tab under the Payments section. This article outlines how to use each of these features effectively.
Instructions
Navigate to the Details tab of the specific event you want to edit.
Scroll down to the Payments section.
Add payment schedule notes:
Click the gray box labeled “Click to add payment schedule notes.”
Use the text editor to write your note and click Stop Editing to save.
The note will be visible to clients under the payment schedule on their portal.
Generate an invoice for a payment:
Find the payment line (e.g., non-refundable deposit) and click the down arrow icon on the right.
An invoice will be generated automatically, including a QR code, payment info, and your contact info.
Add notes to the invoice:
Click Edit Payment Schedule.
Scroll to the bottom of the pop-up to the Invoice Sections area.
Add your notes (e.g., PO number) in the Invoice Notes field.
Regenerate the invoice to include the new notes under “Other Info.”
Mark a payment as paid manually:
Only necessary if the client pays by cash, cheque, or another offline method.
Click the dollar sign icon with a check mark next to the payment line.
Select the date and method (cash, cheque, etc.) and click Mark as Paid.
The status will update and show in the client’s portal as well.
Undo a payment status or issue a refund:
Click the undo icon next to the payment.
For Stripe payments, this issues a full refund.
Partial refunds must be handled directly within your Stripe account.
Edit the payment schedule itself:
Click Edit Payment Schedule.
Add or remove payments as needed.
Choose between flat amounts or percentages.
Changes affect only the current event, not the template or settings it was based on.
Click Close when finished; amounts will update based on the event’s total price.
