# Retrieve order data

Use the date range on [Create & Manage Orders](/reference/purchasing/create-manage-orders.md) to choose the events and retail plans you are buying for. Events need to be **Booked** and contain flowers or hard goods in their recipes before they can produce buying requirements.

## Choose a date range

1. Open **Purchasing** in the navigation menu.
2. On **Create & Manage Orders**, click **Date Range** and choose a start and end date. You can also use a shortcut such as **Next 2 Weeks**.
3. Click **Retrieve Order Data**.

The event dates must fall within the range. For retail plans, include the plan's start date; retail plans do not need an event's Booked status. This filter is not a purchase-order delivery-date filter.

The retrieved records appear above the populated summary. Check this list before editing prices or creating an order.

## Refresh the results

After a successful retrieval, the button becomes **Refresh Order Data**, and the page shows when the data was retrieved. Click it again after changing recipes or purchase orders elsewhere. Choosing a different range clears the current results until you retrieve again.

If the summary is empty, check the event's date and **Booked** status, then confirm that recipes contain flower or hard-good quantities. An event with only other costs does not create flower requirements.

## Linked records and clearing an event

A purchase order can cover several records. FlowerBuddy also loads the other events or plans associated with those orders, so the list can include records outside your original date range.

The clear icon beside a record removes it from the current view, along with its orders and other records associated with those orders. It does not delete the event. Read **Confirm Clear Event** carefully before using **Clear Event**, because the remaining summary may no longer represent the whole combined order.
