# Use variables and copy an email template

Variables let one saved message adapt to the event and contact you choose. Insert them in the subject or body instead of typing details that change from one event to another. The variable menu is available from the email template editor and keeps the available values visible while you write the reusable message.

## Choose a variable

Open **Insert variable** to choose a value while writing the body. The menu shows the event, contact, sender, and brand values available for the message.

The available choices include:

* **Event name**, **Event date**, and **Event number**.
* **Proposal link**.
* **Contact name**, **Contact first name**, **Contact email**, **Contact phone number**, **Contact address**, **Contact company name**, and **Contact role**.
* **Sender name**, **Sender first name**, and **Sender email**.
* **Brand email**.

Use the variable button beside **Subject** for a subject variable. Use **Insert variable** in the body toolbar for a body variable. FlowerBuddy stores the variable in the template and resolves it when you open the template from an event.

If a text value is missing, FlowerBuddy uses the variable's fallback text in the preview. **Proposal link** inserts the event's proposal link, but inserting a link does not make the proposal available to the client. Review the access warning before sending. For an event that is not **Booked**, an unpublished or expired proposal can prevent access. **Booked** events bypass those publication and expiration warnings. You can still copy a message that contains a warning, so check the link before sending it.

## Copy the message from an event

From an event, open the email action for a contact and choose the saved template. Review **Recipient**, **Subject**, and **Body** before copying each part. Use the copy controls for the recipient email, subject, and body, then paste them into your email editor.

FlowerBuddy displays a manual-send warning because it does not currently send email templates. The florist sends the message in the separate email editor after checking the recipient and resolved content. Creating, selecting, or copying a template does not send anything.

## Keep manual messages separate from automatic emails

Email Templates are reusable content for a message that you choose and send manually. Automatic payment notification emails are configured separately under Event Settings and follow their own timing rules. Editing an Email Template does not turn on automatic sending, and changing an automatic payment notification setting does not edit the saved Email Template library.
