# Plan the event timeline

The **Timeline** records activities that happen around the event, such as delivery, setup, ceremony, room changes, and collection. Each item can include a date and time, a saved location, notes, and a choice about whether clients see it in the proposal.

## Add a timeline item

1. Open the event and select **Details**.
2. Expand **Timeline** and select **Add Timeline Item**.
3. Enter a **Name**, such as `Ceremony setup`.
4. Choose the **Date** and time.
5. Select an existing **Location** when the activity happens at a saved place.
6. Add **Notes** when the item needs more context.
7. Select **Create**.

The **Add Location & Time** dialog keeps the activity name, date, saved location, and notes together. Review those fields before creating the timeline item.

**Name** and **Date** are required. FlowerBuddy interprets the time using the event's timezone and lists the items in chronological order.

## Use a saved location

A saved location describes a reusable place. A timeline item describes a particular activity at that place.

Search the **Location** list first. If no location matches, select **Add location?**. In **Create New Location**, enter a nickname or address and any point of contact, phone number, website, or notes you have, then select **Create**. FlowerBuddy selects the new location for the timeline item.

When you edit the saved location from a timeline item, the change applies to every event that references that location. Changing the activity's time or notes affects only that timeline item.

## Edit what clients see

Select the pencil icon on a timeline row to review its date, location, notes, and point of contact. Select **Edit Time & Location** to change the item.

**Show in Proposal** controls whether this item is available to proposal timeline sections. Turning it off does not remove the item from the internal event timeline.

The display controls at the top of **Timeline** change how dates are shown to you:

* **Item** shows the date with each timeline item.
* **Header** groups items under a date heading.
* **Both** uses a date heading and also shows the date with each item.
* **Show Day of Week** adds the weekday to the date display.

These are display preferences. They do not change the saved activity time.

## Remove a timeline item

1. Select the trash icon on the intended row.
2. Review **Delete Timeline Item**.
3. Select **Delete**.

Deleting the timeline item removes that activity from this event. It does not delete the saved location attached to it.

Timeline changes require event edit access and an unlocked event.
